Job Description & Position Details:

All positions are designed to promote York is U’s tradition of inclusive environment and provide avenues for increased student participation through our signature events. The key event planning and volunteer integration will account for 60% of this position. In addition the York is U Ambassador will be conducting outreach, presentations and leadership development, which will compose of 40% of the position’s duties.

There are two type of teams within York is U. The Core Events Team is responsible for execution of all events. The Core Communications Team is responsible for all marketing and communication in supporting those events. Regardless of this distinction all Ambassadors are expected to participate and support their fellow peers’ events and work.  Each team has a separate application process, details below.

How to Apply to the York is U - Core Events Team

As this position will greatly focus on your ability to see the big picture as well as pay attention to the small details. The following assignment requires you build an Action Plan for the following scenario

You are asked to build a ‘Commuter Event’ targeting first year students to stay engaged with the university. You have a budget of $2000. Please define the following in your action plan and be sure to include :

  • Date/time of your event:
  • Name of Your Event:
  • Purpose of your event and how it ties with the values of York is U (max of 150 words)
  • Define Your Target and how you plan to reach them:
  • Create a work back schedule that counts 8 weeks prior to the event and includes assignments for each week leading up to the event. Each week you can include assigning duties to yourself and your team members as well detail what tasks you wish to complete.
  • Also include how will you measure the success of your event. What feedback will you use?
  • Include a Budget breakdwon: Define how you will be using the $2000

Note *There is no right or wrong way to do this assignment in terms of specific format (i.e. table vs excel charts, word documents, visual layouts etc.) There might be gaps about your own knowledge in planning events at York, but the point of this is to see your own planning process and whatever information you have to be included based on your best assumptions and guesses.

How to Apply to the York is U - Core Communication Team

Our ambassadors will demonstrate strong communication skills through writing and other creative means such as photography and video etc. Our ambassadors must also have a working understanding of social media tools including strategy and diplomacy.

  1. Please submit a creative storytelling piece that tells the story of your life and involvement on campus, demonstrating your experience and skills as they relate to the position. Please use digital tools and social media platforms that you are most comfortable with and enjoy (i.e. blogging, twitter, instagram, your website etc).
  2. There is no formal resume or cover-letter required, however a PDF version of you Co-Curricular record must be included. Please login into yuconnect.yorku.ca to obtain a copy. We encourage you to update your record and add reflections as this will supplement as your resume.

In addition you may also wish to submit a portfolio if you have experience with Adobe Creative Suite including samples of your work in addition to the storytelling piece as we are looking candidates with strong background.

About York is U:

York is U is a peer-led unit whose vision continues to grow and foster an inclusive environment that brings together student-ambassadors who engage other students in campus-wide events, York pride, leadership and a lifelong connection to York University. York is U Ambassadors work under the direction of the York is U Coordinator within the Centre for Student Community & Leadership Development.  York is U Ambassadors will lead signature events such as Terry Fox Run, York’s Birthday as well various smaller-scale events and promotion & coordination of activities within student life.

About Red Zone :

York’s RED Zone is an first-year transition program designed with new students’ needs in mind. In the RED Zone, incoming students are greeted by a team of experienced peers trained and equipped to answer questions directly or converse online.  York is U Ambassadors will also act as RED Zone will attend mandatory two-week training program prior to their role in the RED Zone.

Time Commitment Includes:

  • 16+ hrs/wk – SU term
  • 10 hrs/wk – FW term
  • Wages - $12/hr
  • Attend all mandatory training sessions in the summer term in early May 2013
  • Attend bi-weekly meetings (2 hrs per week)
  • In addition to leading or promoting York is U events, all York is U ambassadors will be responsible to the RED Zone Lead and will be providing resources for students. i.e. student  finance services, res life, academic social orientation etc.

Note for ALL positions: preference will be given to students who have a demonstrated track record of sustained involvement in campus life and who have experience in blogging, writing, social media and/or online community building.

About York is U – Core Communications Team 

The purpose of this position is t0 express the depth of  what York is U has to offer, which is a gateway for student involvement across campus. This role will have a heavier online presence as well and promoting activity of both York is U and SCLD.

The incumbent must demonstrate at least one of the following mediums for outreach:

  • Design for Print and digital media (i.e. posters, brochures)
  • Photography and video in promoting and capturing student involvement and spirit in SCLD and York is U involvement
  • Social Media tools

The incumbent will :

  • Assist with the Event Ambassador portfolios by designing and marketing their events. Ensuring information is delivered accurately on all mediums and materials including print, newsletters, social media including YU-Connect.
  • Using various digital media tools for recruiting volunteers and promoting campus-wide events
  • Manage online membership and service hours
  • Managing  all media such as organizing video and photographs
  • Recruiting their own promotional support teams and designing strategy and tasks to be carried out throughout the year.

 About York is U – Core Events  Team 

The incumbent will …

  • Take the lead on organizing York is U signature events such as Red/White Days & York Birthdays, Terry Fox Run as well other SCLD related Orientation events
  • Recruit, train and schedule volunteers within their event portfolio.
  • Setup Event Action Plans and budgets 8 weeks prior to each event.
  • Setup feedback/evaluations post-event.
  • Assist with other peer-led events and playing a coordination role under their direction.
  • Promoting signature events through social media outlets such as YU Connect, Facebook etc.
  • Create presentations and facilitate meetings with campus partners.
  • Other administrative tasks as assigned may also include operational work such as data management, research,  administrative/clerical responsibilities, on-campus deliveries, checking stock levels for supplies etc.

Job Descriptions

  1. Internal Information Coordinator
  • Act on behalf of Event Ambassador, to monitor the meeting or be in charge on the event day.
  • Write and send out agenda items prior to each meeting and inform them about the meeting time and location
  • Take minutes at Action Team Meetings and send them out to the team within 3 days of meeting
  • Liaise with the team and YU Communication team.
  1. Set Design and Layouts Coordinator
  • Integrate requirements such as research, budget and team ideas to develop set designs
  • Present drawing and ideas to the team for approval
  • Selection of cost effective décor materials and decorations
  • Oversee the setup and tear-down of decorations at events location(s) prior to event and on event day
  • Prepare instructions and guidelines to executive setup and tear-down
  • Creative eye-catching and informative event banners
  • Present drawings to the team and make changes as necessary
  1. Operation Coordinator
  • Integrate theme, budget, research and team ideas to develop fun games and other attractions at main locations
  • Plan and set up the photo booth and facilitate its running (if applicable)
  • Facilitate the execution of party games and other attractions on the event day along with volunteers and the team
  • Assist with Red/White Day activities if necessary. Being on call in regards to flash-mob activities happening across campus.
  1. Glendon Campus Events Coordinator
  • Integrate main theme of event into smaller scale to executive cost effectively at Glendon Campus
  • Act as the main liaison between the team and GCSA for instance arranging the meeting or executive the event on behalf on Event Ambassador
  • Plan cake cutting ceremony/cake distributions/other attractions at Glendon Campus in collaboration with GCSA.
  • Coordinate with Distributions Coordinator on logistic.
  1. Volunteer Coordinator
  • Create posting for recruiting volunteers for event day
  • Prepare “Thank You” packages for volunteers and performers
  • Develop efficient volunteer schedules including the amount necessary at each station, task lists and safety regulations
  • Communicate effectively with the team in term of estimating the number of volunteers-needed for pre-event and on event day.
  • Assist Entertainment Coordinator to contact various student organizations for the flash mob, *if applicable.
  • Integrate theme, budget and team ideas for volunteer costumes
  • Use various sources effectively to recruit enthusiastic volunteers
  1. Finance Coordinator
  • Contact campus vendors regarding possible sponsorships
  • Prepare pre-event, post-events and updated budgets and communicate details to the team
  • Research on discount and promotions to assist with purchasing supplies
  • Collect reimbursement forms and assets team with purchasing decisions and preparing financial documentations
  • *Duties will exceed event date as post-event will be necessary
  1. Distributions Coordinator
  • Develop an efficient and cost effective distribution method for the cake and cupcakes
  • Research and present various flavors and designs of cake and cupcakes for approval from the team
  • Plan and facilitate the cake cutting ceremony according to guidelines
  • Coordinate with Set Designer over layout and other details

  • Communicate and coordinate with other team members regarding set up, layout and logistics
  • Organize technical equipment requirements and other supplies cost effectively
  • Facilitate the execution of party games and other attractions on the event day along with volunteers and the team

3. Volunteer Recruiter Coordinator (2 positions)

  • Create posting for recruiting volunteers for event day
  • Prepare thank you packages for volunteers and performers
  • Develop efficient volunteer schedules including the amount necessary at each station, task lists and safety regulations
  • Use various sources effectively to recruit enthusiastic volunteers
  • Responsible for volunteers’ t-shirt during the event and report by the end of the event.

4. Marketing Liaison (1 position)

  • Contribute creative ideas for promotions
  • Develop efficient marketing plan 2-3 weeks before the actual event and carry them out based on a timeline.
  • Assist closely with Communication Ambassador(s) regardless contributing ideas for YouTube Video/Promotion production
  • Contact directly to Communication Ambassador(s)on behalf of Core Event Ambassador
  • Reports all updates on event progress including any changes or additions to Pre-Media release form and attends marketing meetings with/on behalf of Event Ambassador

5. Clubs Liaison Coordinator (1 position)

  • Research mental health related clubs/organizations on campus for possible collaboration
  • Contact directly to Clubs/Organization on behalf of the Core Event Ambassador
  • Send out e-mails and set up meetings with interested clubs/organizations to discuss the event and how they can get involved and gives them timelines to respond.
  • Maintain frequent communication with the clubs/organizations
  • Relay information from clubs to the Core Events Ambassador

Additional  Information In order to be considered for these positions, you must be available for the event date which is November 13, 2012. These are all unpaid volunteer positions. These positions can be verified and used for your Co-Curricular Record via YUConnect. You shall receive an orientation on how to submit hours for your record and for volunteer recognition.
